Where are archive files stored?

Vaultastic stores archived files securely in the Vaultastic Open or Deep Store, designed for long-term retention. This ensures safe, reliable access to your files whenever needed.

Vaultastic can mirror your original source drive folder structure for familiar browsing or can zip the content to further optimize storage.  You can easily retrieve any archived file via the Vaultastic interface, with options for selective extraction from zip files or directly downloading from the folders.

How does archiving work?

Vaultastic enables you to archive files from platforms like Google Drive and OneDrive for Business. In addition you can also archive files from your file servers over SFTP (Secure File Transfer Protocol).

You can perform a complete backup followed by regular incremental backups. This is managed by configuring file archiving jobs within Vaultastic, ensuring continuous protection and synchronization of your data.

The archives are either stored as ZIPs or mirrored into the same folder structure as the source.

What is SaaS data?

SaaS (Software as a Service) data refers to any information generated, stored, or processed within cloud-based software applications that are delivered as a service over the internet. Unlike traditional software installed on physical servers or individual computers, SaaS applications are hosted on cloud infrastructure and accessed through a web interface or app, which enables anytime, anywhere access. SaaS data includes a wide range of information, such as emails, documents, customer records, communications, user interactions, and transactional data, depending on the purpose of the application.

As businesses increasingly rely on SaaS solutions like CRM platforms, project management tools, and collaborative applications, SaaS data becomes essential to daily operations and strategic decision-making. Managing and securing this data is crucial for maintaining business continuity, ensuring compliance, and enabling effective data governance. By preserving SaaS data in an organized, accessible format, organizations can enhance productivity, streamline data retrieval, and safeguard critical information for future use.

What does it mean to archive SaaS data?

Archiving SaaS data involves securely preserving and storing information generated by cloud-based applications (such as emails, documents, customer records, and communications) in a dedicated, long-term storage repository. Unlike regular backups, which focus on short-term recovery, SaaS data archiving creates a permanent, tamper-proof record of data that remains accessible for extended periods. This process ensures that data remains intact, organized, and quickly retrievable for regulatory compliance, legal discovery, historical reference, and business continuity.

Archiving SaaS data provides several critical benefits. It helps organizations meet industry-specific compliance requirements by retaining records securely and enables quick access to historical data in response to audits, legal inquiries, or internal investigations. With indexed and organized storage, SaaS data archives allow for rapid search and retrieval, improving productivity and data transparency. Moreover, archiving offloads less frequently accessed information from active systems, optimizing storage usage and enhancing performance in everyday operations. Ultimately, archiving SaaS data allows businesses to protect valuable information, minimize data-related risks, and build a robust, scalable data management strategy.

Which SaaS tools are supported by Vaultastic?

Vaultastic supports a wide range of popular SaaS tools to help organizations archive and manage essential data securely. Whether for email, file storage, customer records, or messaging platforms, Vaultastic’s SaaS support enhances data governance and improves overall data management across cloud applications.

Why should I archive SaaS data?

Archiving SaaS data is essential for protecting valuable business information, ensuring regulatory compliance, and supporting operational resilience. As organizations increasingly rely on SaaS platforms for critical functions—like email, customer relationship management, ticketing, and file sharing—these platforms generate a wealth of data that must be preserved long-term for legal, operational, and compliance purposes. By archiving SaaS data, businesses create a secure, immutable record that protects against accidental deletion, intentional tampering, or system failures.

Additionally, SaaS data archiving enables quick, centralized access to historical records, allowing organizations to respond swiftly to audit requests, legal discovery needs, or internal investigations. Unlike traditional backups, which may only provide limited, short-term recovery, an archive is purpose-built for organized, permanent storage, making it easy to search and retrieve specific data when needed.

Archiving also helps optimize performance and control storage costs by offloading infrequently accessed information from primary systems. Overall, archiving SaaS data allows organizations to safeguard their data assets, streamline compliance, and improve data governance, creating a more resilient and prepared business environment.
