Setup email archiving for MailEnable

Vaultastic is the easiest - most secure email archiving solution yet! Vaultastic provides archiving for Office 365, Google Apps, Exchange Online, MS Exchange, Zimbra, Mdaemon and other email solutions. Vaultastic helps your business with all eDiscovery, Compliance and Business Continuity needs.

Configure your primary domain to enable the email archival setting for all/required users. On configuration, email messages sent/received by those users are archived on the Vaultastic server.

As an admin of the Vautastic server, you can provision all/ required users on the Vaultastic server and allow them to access their account. By default, users provisioned on the Vaultastic server are not allowed to access their account.

To archive mail from your primary email domain hosted on MailEnable, the mail filter feature of MailEnable is used. This forwards mail from the primary email server to the Vaultastic servers.

This document gives the steps to archive emails from your MailEnable domain to Vaultastic.

Steps to setup email archiving for MailEnable

To enable the archival for the users of your domain (hosted on MailEnable), first you need to

Step 1. Provision your domain and users on Vaultastic.
Step 2. Add Mail Route for the Vaultastic server
Step 3. Configure a mail filter to journal email messages sent from and received to selected users of MailEnable domain

Step 1: Create a Vaultastic domain

1. Choose your Vaultastic email archiving plan.
2. Sign up for the free 30-day trial.
3. On successful Vaultastic domain creation, you will receive an email with the login details on the email id given during the domain creation.

Step 2: Add Mail Route

Before adding mail filters for the users of your domain, you need to follow the steps mentioned below to add mail route for the Vaultastic server. This mail route is a SMTP connector which will be used to route mail from MailEnable to Vaultastic.

As this is a one-time job, if you have already added the mail route for the Vaultastic server, you can skip this step and go to the next step to add mail filter for the user.

  • Navigate to the MailEnable Admin Console
  • Create a new Post Office say Vaultastic

  • Add new domain to Vaultastic Post Office.

Configure properties of the domain as follows.
i. Specify domain name in the format
<domain-name>.vaultastic.com

For example: If the name of your MailEnable domain is baya.in or baya.com then domain name for the corresponding Vaultastic domain will be baya.vaultastic.com

The details of your Vaultastic domain would have been shared with you in the welcome mail, when your domain was created on Vaultastic.

ii. Enable the option to act the domain as a Smart Host.

Click OK to finish the domain adding process.

Step 3: Configure Mail filter to enable archiving for all/selected users of your domain hosted on MailEnable

You can journal all email messages transacted by the users on your MailEnable domain by defining mail filter for all/required users.

Note: All the users must be provisioned on the corresponding Vaultastic domain. If a user is not present on Vaultastic, email messages sent to or received from that user will not be archived on Vaultastic domain.

The mail filter setting enables you to deliver outbound and internal-sending delivery to Vaultastic.
Follow the steps mentioned below to configure a mail filter for all/required users of your domain hosted on MailEnable.

1. Create New Filter

To configure mail filter settings for your domain or organizational unit:
i. Sign in to the MailEnable Admin Console and expand the Filters option on the left pane.

ii. Create New Filter to forward email messages sent from and received to the user of MailEnable domain

2. Enable Standard Criteria

From the list of standard criteria, select to enable below mentioned criteria options
i. Where the TO or CC header line contains specific words
ii. Where the From header line contains specific words

i. Double click the criteria item Where the TO or CC header line contains specific words from the list to update properties

  • Select the option Use short word list
  • Enter primary email-id of the user
  • Click Add to update the list

  • Enable the criteria
  • Click OK to proceed

ii. Double click the criteria item Where the From header line contains specific words from the list to update properties

  • Select the option Use short word list
  • Enter primary email-id of the user
  • Click Add to update the list

  • Enable the criteria
  • Click OK to proceed

3. Add Actions to be performed

Click the Add Action button.
Add the actions mentioned below to be performed when the above selected criteria are met.
i. Add Message Header
ii. Forward to address

i. Select the action item Add Message Header

  • Enter header item as X-ME-VAULTASTIC-ENV-SENDER
  • Enter Header Value as [ME_SENDER]
  • Click OK to proceed.

ii. Select the action item Forward to Address

  • Enter Vaultastic id of the user to which a copy of an email will be forwarded.

This way you need to add mail filter for each user on your domain hosted on MailEnable.
