Setup email archiving for Exchange 2007

Vaultastic is an easy to use email archival solution for your business. Configure your primary domain to enable the email archival setting for all/required users. On configuration, email messages sent/received by those users are archived on the Vaultastic server.

As an admin of the Vaultastic server, you can provision all/required users on the Vaultastic server and allow them to access their account. By default, users provisioned on the Vaultastic server are not allowed to access their account.

To archive mail from your primary email domain hosted on Exchange 2007, the journal feature of Exchange 2007 is used. The journaling feature forwards mail from the primary email server to the Vaultastic servers.

This document gives the steps to archive emails from your Exchange 2007 domain to Vaultastic. Configuring an Exchange 2007 domain to archive mail to Vaultastic is a 4 steps procedure.

  • The first step is to provision your domain and users on Vaultastic.
  • In the second step, a mail contact is created in Exchange 2007 to route mail to Vaultastic.
  • In the third step a message form is configure.
  • In the fourth a send connector is configured
  • In the fifth step, the journal rules are configured to archive mail for all or selected users to Vaultastic.

Step 1: Create a Vaultastic domain

1. Visit Vaultastic.com and choose your plan.
2. Sign up for the free trial.

3. On successful Vaultastic domain creation, you will receive an email with the login details on the email id given during the domain creation.

Step 2: Create Mail Contact

1. On the Microsoft Exchange Console, expand Recipient Configuration, then select Mail Contact.
2. On the Actions pane, click New Mail Contact

3. Select the New contact option
4. Click the Next button to continue

5. Provide Contact Information

  • Select your Organizational unit
  • Give a Name to the contact as journal
  • Set Alias to the contact as journal
  • Set External e-mail address
-Click the Edit button to set email address.

Set SMTP Address in the format
journal@<domain>.vaultastic.com
For example:
If your domain name is collaborationretreat.net, then SMTP Address will be
[email protected]

6. Click the Next button to continue.

7. Click the New button to create the contact.

8. Click the Finish button to exit the wizard.

Step 3: Configure Message Format Settings

1. On the left pane of the Exchange Management Console, expand Recipient Configuration, then select Mail Contact.
2. In the result pane, select the Mail contact and on the right-click menu, click Properties.

3. On the General tab, from the Use MAPI rich text format list, select Never.
With this setting, journal reports are sent in MIME rather than S/TNEF.

Step 4: Create the Send Connector

1. On the Exchange Management Console, expand Organization and then select Hub Transport.
2. Select the Send Connector tab.
3. On the Actions pane, click New Send Connector

4. On the New SMTP Send Connector window, give a name to the connector which will help you to identify it easily. For example: Vaultastic.
5. Click the Next button to continue.

6. Click the Add link to specify address to which this connector will route mail.

  • Set SMTP Address Space in the format

<domain>.vaultastic.com
For example:
If your domain name is collaborationretreat.net, then SMTP Address will be
collaborationretret.vaultastic.com

  • Leave "include all subdomains" unchecked.
  • Click the OK button to continue.

7. Click the Next button to continue.

8. Select the "'Route mail through the following smart hosts"' option.
9. Click the Add link.

10. Select the Fully qualified domain name (FQDN) option and specify it as o365.vaultastic.com and click OK

11. Click the Next button to continue.

12. Leave smart host authentication settings as None.
13. Click Next

14. Choose the hub transport servers that apply (as necessary).
Click the Next button to continue.

15. Verify the settings configured for new send connector and click the New button to create the connector.

16. Click the Finish button to exit the wizard.

Step 5: Enable Journaling for all users of your Organization

1. On the Exchange Management Console, expand Organization and select Hub Transport
2. Select the Journaling tab
3. On the Actions pane, click New Journal Rule

On the right-click menu, click New Journal Rule

4. Give a name to the new journal rule which will describe the rule easily. For example, "vaultastic"
5. Click the Browse button to select a journal id from the list.

  • Search to locate the journal mail contact quickly.

Select the Journal mail contact and click the Ok button.

6. Ensure Scope is set to Global to apply the rule for all messages
Check the Enable Rule option
7. Click the New button to create the new journal rule

Step 5: Enable Journaling for selected users of your organization

1. Expand Server Configuration, then select Mailbox
2. Select your database
3. Select the Database Management tab.
4. Select the database for which you want to set up standard journaling and on the right-click menu, click Properties.

5. Select the Journal Recipient option and click the Browse button to set recipient id.

  • Search to locate the Journal mail contact quickly.

Select the Journal mail contact and click the Ok button.

6. Apply the rule and click the Ok button to exit the wizard.
